E-mail communication still up to date

The COVID-19 infections are rising again. Not only network and data security was a challenge for companies, but also communication among employees. Efficient communication between employees and employees is crucial to successfully manage the company. Things that are not a issue when the colleague is next door or within the range of your own workplace suddenly became a problem. This slowed down workflow efficiency.

Subject – What is the topic of the email

Most of the time you just click on replies, the subject remains. The email exchange takes place across multiple mailboxes, different topics in one email, etc. Therefore, care must always be taken to ensure that the subject of each email is already structured in such a way that the recipient can clearly identify the topic and emphasize the urgency. Especially if the email builds on an older conversation, just change the subject. This also gives you the possibility to find the email faster later on.

Not everything can be explained in an email

Not every text is suitable for communicating the facts to the recipient. Before you try to pack complex topics into an email, grab the phone. This is faster and the other person can ask questions. In addition to phone, platforms such as Skype can also contribute to better communication.

Send e-mails away from the road

Save the emails as a draft and take a look at them again before sending the email to the recipient. This allows you to check if somebody understands your text without any knowledge of the process and also check the information so that the recipient has the correct data.

Control who receives your email and whether all content is intended for the recipient. When it comes to data protection, it is important that only those people who work with it receive the email. Forwarding often results in employees getting information that is not intended for them. The same applies to e-mails sent to customers. Often something is clarified internally and the request is passed on to multiple employees before answering.

The question therefore arises: is an e-mail the appropriate means of communication between employees? To be honest, we have to admit that e-mail makes the job easier, but it can no longer meet the requirements of today’s everyday life alone. With home office automatisation of business processes cannot be delayed any longer. CRM systems deliver clear processes from prospective customers to the conclusion of a contract. Communication platforms such as Eko, Skype, etc. provide direct communication without delay. Digitalization is unstoppable.

The e-mail fulfils its duty as a letter replacement. Correspondence can be quickly sent back and forth between all parties involved. But it is not suitable as a communication platform for business processes.
